Distribute 1099-NEC forms for your Contractors

Employers are required to distribute Form 1099-NECs to their independent contractors each year by the end of January.

There are several ways employers can distribute the forms—regardless of which distribution option you choose, AutomotoHR will still send emails to contractors letting them know that copies of their 1099s can be accessed in their account.

Your distribution options:

  • Have AutomotoHR mail them—submit order by Jan 25 for forms to be postmarked by Jan 31.
  • Mail them yourself
  • Download the annual employer packet—can hand forms out in person if needed
  • Deliver them electronically (with contractor consent)

Once Form 1099-NEC is available, AutomotoHR will email your contractors letting them know how to access the form in their AutomotoHR account.

Important reminders

  • At this time, AutomotoHR files Forms 1099-NEC regardless of the $600 threshold in order to provide contractors with the necessary forms to quickly and accurately file their personal tax return.
  • Before distributing forms to your contractors, verify that all information appears accurate. If anything looks wrong, check out our 1099-NEC correction guidance article and/or contact us from the Help section of your account.
  • For contractors paid historically or outside of AutomotoHR that need a 1099 generated and filed, head to this article and follow the steps in the dropdown titled Record or adjust a historical contractor payment processed outside of AutomotoHR.
  • AutomotoHR sends all of the required federal, state, and local filings of Forms 1099-NEC directly to tax agencies on your behalf.
    • Note: Cover sheet Form 1096 is only required to be filed to the Internal Revenue Service (IRS) along with paper copies of Forms 1099—because AutomotoHR files Forms 1099 electronically to the IRS, we do not file Form 1096.
  • You don’t need any special paper stock when distributing forms to your contractors.

Have AutomotoHR mail the forms to my team—submit order by Jan 25

Distribute electronically (contractor consent required) and view delivery preferences

You’re required to distribute paper copies of your teams’ 1099s unless they’ve given consent for electronic distribution.

Forms will be available to distribute by mid-January, and the deadline to distribute is Jan 31.

To check and see who has provided consent for electronic distribution in AutomotoHR, follow these steps:

  1. Go to the Taxes & compliance section and click Tax documents.
  2. Click the 1099s tab at the top of the page.
  3. You’ll see a list of each teammate, with a column showing their delivery preference—this is only available once final forms are available in AutomotoHR.
    • Note: Since you’re required to provide paper copies, we’ll set their preference as “paper copy” by default if they haven’t chosen a preference yet. Contractors who want to go paperless must update their delivery preference by Jan 16 (before forms become available) to take effect for 2023 tax documents.
